Simple, One-Way Opt-In

  • You Decide When: Centralized Persons is a per-account feature that only the account owner can switch on. Existing accounts keep working exactly as they do today until you choose to enable it.
  • Two Easy Entry Points: Turn it on from the Congregation Persons menu tile or from Settings → Congregation Persons. A clear warning explains what will happen before you confirm.
  • Nothing Is Lost: When you opt in, OCLM matches people by name, creates one Person for each, links them to your existing schedule rows, and copies their contact details and time away into the central record. Your schedules continue to generate exactly as before.
  • One-Way by Design: Because the central record becomes the source of truth, opting in cannot be reversed. New accounts start with the feature already enabled.

One Source of Truth for Contact Details

  • Edit Once, Updated Everywhere: Email, mobile, and WhatsApp are stored on the Person record. Change a number in one place and every schedule that uses that person picks it up automatically.
  • Protected at the Source: On the Students, Brothers, and custom-schedule pages, the name and contact fields are shown locked with an "Edit in Persons" link — so there is always one obvious place to make the change.
  • No Duplicate Data Entry: Adding a person who already serves on another schedule is as simple as linking the existing record — no retyping names and phone numbers.

  • See Every Role in One View: Each Person's record shows their mid-week, weekend, and custom-schedule capabilities together, so you can see at a glance where someone serves.
  • Respects Your Permissions: Each section only appears to users who have read access to that schedule type, and an "Edit in Schedule" link takes you to the right page to make changes.
  • Capabilities Stay With the Schedule: Assignment capabilities remain tied to each meeting type — the master record simply gives you a single, read-only summary.

  • One Place for Vacations: Time away is recorded once against the Person and honoured by the scheduler across the meetings you choose — mid-week, weekend, custom, or all schedules.
  • Publisher Self-Service: Publishers with portal access can add and manage their own time away and update their own mobile and WhatsApp numbers — and those updates flow straight through to scheduling.
  • Less Admin Work: Because publishers can keep their own details current, admins spend less time chasing and re-entering changes.

Visiting Speakers, Hospitality & Groups

  • Weekend Coverage: Visiting public-talk speakers and the families or groups who host them can be created from, or linked to, the Persons master list.
  • First-Class Groups: A family or group can be stored as its own Person-style record, so hospitality and custom-schedule groups fit naturally alongside individuals.
  • Externals Kept Separate: Visiting speakers from other congregations are always created as their own record — they are never accidentally merged with a local member who shares the same name.
